Head of Legal Operations

KEY RESPONSIBILITIES

● Manage and protect the Founder’s time, priorities, and workflow across multiple ventures.

● Prepare, organize, and summarize key documents including contracts, NDAs, term sheets, equity structures, and funding materials.

● Draft and refine professional emails, executive memos, legal summaries, and internal briefing notes.

● Prepare meeting materials, action summaries, and follow-up trackers for strategic discussions and negotiations.

● Conduct preliminary reviews of standard agreements (NDAs, Independent Contractor Agreements, Statements of Work, etc.) prior to external legal review.

● Maintain strict version control and secure storage of all executed agreements and sensitive legal documents.

● Support corporate governance activities, regulatory compliance tracking, and intellectual property documentation.

● Coordinate with external counsel and ensure timely follow-up on legal matters.

● Track deliverables, approvals, and key milestones related to legal, funding, and strategic initiatives.

● Create structured document checklists, due diligence folders, and information packages for investors and partners.

● Serve as the primary coordination point between internal teams and external legal, financial, and strategic advisors.

● Maintain organized digital filing systems and document repositories.

● Schedule and coordinate high-level meetings with attorneys, banks, investors, venture partners, and strategic stakeholders.

● Develop and maintain internal SOPs, templates, and standardized communication formats.

● Proactively identify risks, inconsistencies, missing information, and critical deadlines.

● Ensure disciplined follow-up and accountability across all legal and deal-related activities.

● Support the Founder and/or the Strategic Advisor - People & Leadership in talent acquisition, end-to-end recruitment coordination, including job posting, candidate screening support, interview scheduling and candidate communication.

● Organize and maintain employee records, contracts, NDAs, and personnel documentation with strict confidentiality.

● Handle onboarding and offboarding processes, including documentation, system access, orientation materials and compliance checklists.

● Preparation and maintenance of employment agreements, contractor agreements and job descriptions in coordination with legal counsel and/or with the Strategic Advisor.

● Track probation reviews, performance check-ins, contract renewals, key employee milestones and attend to them on time.

● Support the implementation and documentation of HR policies and SOPs.

● Act as a coordination point for remote workforce administration, including time-off tracking, engagement touch points and internal communications.

● Monitor and flag people-related risks, team issues, capacity gaps or organizational concerns to the management promptly.

● Facilitate in maintaining a high-performance, accountability-driven culture through structured follow-ups, communication discipline and documentation.


QUALIFICATIONS & EXPERIENCE

● Bachelor’s degree in Law (LL.B) or equivalent legal qualification required.

● Attorney-at-Law qualification or legal professional certification is highly preferred.

● Minimum 7+ years of experience in legal operations, corporate legal support, contract management, governance, compliance, or related legal functions.

● Proven experience supporting senior executives, founders, CEOs, boards, or leadership teams in a fast-paced business environment.

● Strong working knowledge of commercial agreements, contracts, NDAs, term sheets, funding documentation, and corporate legal processes.

● Experience coordinating with external legal counsel, investors, financial institutions, and strategic partners.

● Strong understanding of corporate governance, regulatory compliance tracking, and legal documentation management.

● Exceptional organizational skills with strong attention to detail and accuracy.

● Excellent written and verbal communication skills with the ability to prepare executive-level documents and correspondence.

● Ability to manage multiple priorities, meet deadlines, and operate independently in a dynamic environment.

● Strong problem-solving skills with the ability to identify risks, gaps, and process improvements.

● High level of discretion, professionalism, and integrity when handling confidential legal and business information.

Monday through Thursday, 8:00 AM - 4:00 PM Pacific Time (California). Candidates must be available to work these hours regardless of their country of residence.
